Who we’re looking for:

As the FOH/Operations Manager at Self Space, you will be at the heart of ensuring our workspace facilities run as smoothly as a penguin on an ice rink. You will oversee various aspects of our operations, from managing the front-of- house to handling logistics, and helping to drive our commercial activities. Your role will involve supervising a dedicated team, maintaining our high standards of service, handling contracts and leases, providing high level EA support to our founders and ensuring we comply with all regulations and health & safety standards. With your strong leadership, organisational skills, and eagle (penguin) eye for detail, you will thrive in our fast-paced and dynamic environment. This role is about setting exceptional standards across all sites, with customer experience front of mind.

 

Key responsibilities:

● Lead, manage, and develop the FOH team, ensuring high performance, pastoral care and
development.
● Implement ongoing training for FOH staff, focusing on customer service excellence, operational
procedures, and professional development.
● Oversee the scheduling and rota arrangements for FOH teams across all sites, ensuring optimal
coverage and efficient operations.
● Conduct comprehensive site inductions for new staff, with a focus on Soho, ensuring familiarity with
the site, protocols, and company culture.
● Co-ordinate the site specific issues involved in opening new branches.

Facilities Management:

● Create and maintain a Preferred Supplier List (PSL) for facilities services, including cleaners, ensuring
efficient and high-quality service delivery.
● Ensure compliance with health and safety regulations, including fire safety protocols, across all sites.
● Act as the primary contact for landlords, managing maintenance logs, and ensuring timely resolution
of site-specific issues.
● Oversee the management of phone lines and contracts, ensuring site-specific needs are met and
integrating systems like HubSpot for seamless communication.
● Ensuring all locations and functions are adequately insured.

Data and Processes:

● Source and implement new systems or processes for optimising space usage, enhancing client
experience and operational efficiency.
● Collect and analyse data on sessions completed, both for Business-to-Business (B2B) and Business-to-
Consumer (B2C) clients, to inform business decisions and strategy.
● Oversee the monthly checking and chasing of payments for therapists, ensuring accuracy and
timeliness, and coordinate with payroll management, currently handled by the FOH team.

You should apply if you have:

● Minimum of 4 years experience in a similar/related role
● Excellent organisational skills
● Previous experience in contract and lease management
● Analytical thinking
● Previous Leadership experience with excellent people management skills
● Critical thinking, data analysis and reporting skills
● Strong communication (verbal & written) and interpersonal skills
● Able to work in a structured way, under your own initiative as well as collaboratively in a small team
● Can work calmly under pressure, and adapt to fast-paced/changing situations, timescales and
priorities
● Strong attention to detail and driven by high standards for quality
● Confident and committed to taking full responsibility for an important role
● Excellent people management skills, able to manage upwards and influence in a complex
environment

Salary: £40,000 – £45,000, plus a generous benefits package including private healthcare
